Immigration Client Intake Software: From Enquiry to Consultation
Learn how immigration firms can organise new enquiries, collect initial information, assign follow-ups and move suitable prospects toward a consultation without losing context across disconnected tools.
Immigration Client Intake Software: From Enquiry to Consultation
For an immigration consultancy, client intake begins before a case is opened. Someone submits a website form, sends a WhatsApp message, emails a question or arrives through a referral. The firm then needs to capture the enquiry, understand what the person needs, decide who should respond and make the next step clear.
When intake happens across disconnected inboxes and spreadsheets, a promising enquiry can sit without an owner, the same questions may be asked twice, and staff can lose the context needed for a useful follow-up. Immigration client intake software helps organise that early journey so enquiries are easier to track and hand over.
What should immigration client intake software do?
1. Capture enquiries in one place
A central record should capture the details your firm needs from the channels it supports. Record the date received, source, contact details, service requested and the person responsible for the next action. Avoid collecting sensitive information before it is needed.
2. Make the next step visible
Each enquiry should have a clear status and next action, such as review details, request missing information, schedule a consultation or close the enquiry with a recorded reason. Staff should not have to search message histories to work out what happens next.
3. Support consistent qualification
Use a structured intake form to collect the basic information your firm needs to decide whether and how to proceed. Questions should reflect your services and professional obligations. Software can organise information and flag incomplete records; it should not be presented as a substitute for qualified immigration advice or a professional eligibility assessment.
4. Assign ownership and follow-ups
Give each enquiry an owner, due date and activity history. Reminders can highlight records that have no next step or have waited too long for a response. Managers can then see where follow-ups are being delayed instead of relying on memory or asking the team for manual updates.
5. Connect intake to consultation booking
Where appropriate, connect the enquiry record with consultation scheduling, meeting notes and post-consultation follow-up. This reduces repeated data entry and helps the next team member understand what has already been discussed.
6. Hand clients into onboarding and casework
When a prospect becomes a client, the firm should have a defined handoff. Relevant information can move into onboarding and case management, with clear responsibility for documents, tasks and deadlines. Intake software is most useful when it fits the wider client journey rather than becoming another disconnected database.
How poor intake can affect revenue
Intake is not just an administrative process. If enquiries wait too long for a response, prospects may choose another provider. If the team cannot see which enquiries have been contacted, consultations can be missed or duplicated. If staff repeatedly collect the same information, the firm spends capacity on avoidable work instead of progressing client relationships and active cases.
Measure the process before buying software. Useful indicators include time to first response, enquiries without an assigned owner, overdue follow-ups, consultation booking rate and the proportion of enquiries that progress to the next defined stage. Use consistent definitions and compare periods fairly; do not assume a new system will automatically improve conversion.
Should you buy a CRM or build a custom intake system?
A ready-made CRM may be enough if it supports your enquiry channels, fields, follow-up rules and reporting. Configuration or integrations may close smaller gaps. Custom software is worth evaluating when your intake process has important requirements that existing tools cannot handle cleanly, or when intake needs to connect closely with a tailored client portal and case management workflow.
Before choosing, map the journey from first enquiry to consultation and client onboarding. Identify where information gets lost, who owns each action, which tools must remain and what managers need to see. Then compare software against those real requirements rather than a generic feature checklist.
